Position Primary Purpose and General Responsibilities:
The Panamerican Trauma Society (PTS) is an organization dedicated to the improvement of trauma care in the Pan American region, encompassing North, Central, and South America, as well as the Caribbean. The society focuses on fostering education, research, and advocacy in the field of trauma and surgical critical care.
The Program Support Assistant provides clerical and secretarial support for all PTS international educational programs and activities.
The incumbent is responsible for a wide variety of clerical tasks including correspondence preparation related to membership, international research competitions, international congresses, symposiums, and training activities overseas and in country. The assistant performs various assignments to include scheduling meetings, conferences; handling all travel arrangements/itineraries; Performs secretarial duties, provides excellent customer service, and high quality translations in English, Spanish, and Portuguese.
The support assistant is responsible for gathering information and updating the content of the PTS web sites. Accountable for appropriate data entry into data bases and information of research papers and PTS membership. Assists with the coordination of international travel scholarships, fellowship programs and supports the PTS Ad-Hoc committee chairs.
Minimum Hiring Standards:
Previous secretarial/administrative work experience in an office setting.
Previous experience with Microsoft Office applications and e-mail/calendaring.
Fluency in English and Spanish required; Portuguese is a plus.
Ability to communicate effectively in both in writing and verbally in English and Spanish as appropriate.
Possess an understanding of the implications of new information for both current and future problem-solving and decision-making.
Ability to assist others on how to execute specific tasks.
Maintain principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Perform administrative and clerical procedures and systems such as, managing files and records, designing forms, and familiarity with other office procedures and terminology.
Proficiency in Microsoft Office application. Advanced skills in Excel, Outlook, Word, Power Point and Publisher.
General work schedule is day shift, Monday through Friday, but may require flexibility for special projects or to meet organizational needs.
Position requires travel to international symposium.
Must have a demonstrated commitment to fostering diversity and inclusion in past experiences or a commitment to do so as a staff member at VCU.
Preferred Hiring Standards:
Previous experience in an academic health care setting.
