Required Written Policies for Document Destruction Protect Businesses

Shred Tec

April 29, 2014

FOR IMMEDIATE RELEASE

Required Written Policies for Document Destruction Protect Businesses

Eureka, Calif. – Businesses with a written policy on how to handle and destroy sensitive documents have a layer of protection against unnecessary liability when it comes to ID theft and security breaches.

ShredTec owner Kyle Visser earned the Certified Secure Destruction Specialist (CSDS) designation from the National Association for Information Destruction in April after several weeks of studying and a trip to Arizona for the test. He was surprised to learn through the program about the liability some businesses are in without a written policy on handling and destroying sensitive documents like health records.

“I’d like businesses to become aware that they have this obligation, whether they know it or not,” Visser said. “Behind the Redwood Curtain, we don’t always think of the consequences because we feel there’s no enforcement up here. But if someone submits a complaint to the Department of Health and Human Services, and if it were true it would demonstrate willful neglect, they must legally investigate it for HIPPA.”

A written policy that covers how long to keep certain documents and how to destroy them securely must be shared with employees to be effective. Visser said if employees are trained to follow the policy, the business is better protected. Not only will such policies make it harder for sensitive information to slip into the wrong hands, it also protects the business if an individual employee disposes of documents incorrectly. With a policy in place, the business’s liability is significantly reduced.

Sensitive documents include employee insurance records, patient records, social security numbers, tax forms and anything that is personally identifiable. Even a sticky note saying that a client came to visit a business may be considered confidential information.

As a CSDS, Visser helps businesses create written policies on how to handle and destroy sensitive documents and how to train employees on these policies. He is the only CSDS from the Portland area to the Bay Area.

Cal-Ore Life Flight Membership and Merchant Discount Program

Cal-Ore Life Flight Membership and Merchant Discount Program

Cal-Ore Life Flight offers an air and ground ambulance membership program.  Our members represent a cross-section of Curry, Del Norte, Humboldt and Siskiyou County residents who pay an annual fee to belong. Over the last 20 years, the membership base has increased dramatically. This program represents one of the largest single groups on the Border Coast.

Several years ago, Cal-Ore launched the Merchant Discount Program, in order to provide members with an additional benefit.  Here’s how it works:

1.  A business decides they would like to participate and contacts Cal-Ore Life Flight to become part of the program.

2. The business specifies what type of discount they would like to offer, usually a percentage off purchase, or something similar.

3.  Cal-Ore adds the business to the Merchant Discount List, including address, phone, website and discount offer.

4. Cal-Ore provides the Merchant Discount List to members in new member packets & renewal invoices, at their Crescent City and Brookings office locations and via the company website.  The Merchant Discount Program is also explained in membership presentations and mentioned in radio advertising.

5. Cal-Ore members now have an incentive to patronize specific businesses and by showing their membership card at the register, receive a discount.

We want to emphasize that Cal-Ore has no desire to profit from this program, only to offer our members this additional benefit. Cal-Ore Life Flight is passionate about being a catalyst for community businesses while providing a high level of air and ground medical transport.

To join our Merchant Discount Program, simply contact Darryn Ballance at Cal-Ore Life Flight, 541-469-7911 or via email, darryn@ cal-ore.com.

We hope you will join our growing list of merchants so both you and our members can reap the benefits!

Send us your letters of concern, please!

Dear Southern Humboldt Community,

The Garberville Redway Area Chamber of Commerce is a non-profit organization whose primary function is to establish a sound economic base in Southern Humboldt while enhancing our quality of life and environment.  Although our name says Garberville Redway, we really represent all of our rural communities.  We do this by supporting our members, promoting great things that are happening, and making connections for locals and visitors.  In our own ways, we all love our small town community.  We all live here because this is where we feel we belong.  We all want it to be the safe and nurturing environment that it once was.
Each year we experience an influx of people for several reasons.  Primarily, people come from all over the world to see these magnificent Redwood trees that we are fortunate enough to live among. Many people stop here on their travels North or South.  We have foreign and domestic backpackers making their way along California’s coastline.  And of course, there are those with ideas of grandeur about what they have heard about our local economy.
The past couple of years have been particularly rough.  Here in the Chamber office, we field a large assortment of comments, complaints, emails, and phone calls from locals and visitors.  Being in town some days can really drag a person down, as it is not always a positive vibe in the air that we expect in our  rural small town.  Everyone in the community talks about it.  Some are moving away because of it.  We all agree that something has got to change.
We believe that by standing together, we can make positive change happen.  We have been to meetings.  We have some ideas.  We would like your help.  The first thing that we need from the community are letters.  Letters on paper, letters in an email, letters describing your frustration, letters documenting incidents, letters that offer solutions, letters that we can keep together for a project we are working on.  Your letters can be addressed to The Chamber, The Supervisors, Humboldt County, etc.  We would like a copy to use for data in our project.  Do we think we can fix all the problems?  No.  But we do believe that we can be part of making real positive change that affects us all.  Thank you for your support and cooperation with this issue.
Send letters to chamber@garberville.org or PO Box 445 Garberville, Ca 95542.
Sincerely,
Cinnamon Paula
